Volunteer

The school’s success depends on parents volunteer! All PTC board members and program chairs/helpers are parents who volunteer their time to help run these programs. We constantly need parents to run these program for our kids to enjoy and have fun at these school activities. Here are the description of each positions, please contact us if you are interested in helping out with any of these programs/events. Thanks!

Officer and Committee Chair Descriptions

The PTC Executive Board is comprised of elected officers, committee chairs, and school representatives. It meets one evening per month to conduct PTC business. Anyone may attend.

Elected Officers

President – Serve as leader and key contact for the PTC; preside at all PTC meetings; ex-officio member of most committees; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTC’s objectives can be met.

Vice President – Act as an aide to the President; perform the duties of the President in the absense or inability of that officer to serve; assume other responsibilities as assigned by the Executive Board; help recruit committee chairpersons for all vacant standing committees of the board.

Secretary – Keep the minutes of all general meetings and all meeting of the Executive Board; prepare correspondence and perform all other duties assigned; maintain master documents on school computer; keep the calendar of events for the PTC.

Treasurer – Be responsible for and have custody of all funds; make disbursements as properly authorized; be present at all PTC events where money will be collected; assure that PTC policies and best practices are followed with regards to funds; prepare financial reports for each meeting and as needed; prepare the books for an annual audit.

Parliamentarian – Act as a consultant to assure that meetings and processes are conducted in accordance with PTC Bylaws; advise on parliamentary procedures using Robert’s Rules of Order; bring current copy of Robert’s Rules of Order and PTC By-Laws to all meetings. The Parliamentarian is appointed by the President rather than elected by the membership.

Chairs and Other Positions

School Directory – Colecting parent information online and giving parents secure access to the online system.

Contribution Drive – Manage the coordination of the PTC’s one-time fund-raising drive.

Hospitality – Coordinate any hospitality activities, including Teacher Appreciation lunch, Coffee with the Principal, etc.

Book Fair – Organize the school’s Book Fair in fall and spring. Act as liaison to coordinate, promote the event to students and parents, and plan setup of Fair. Effort can be split among multiple project leaders.

Teacher Appreciation – Organize annual teacher appreciation activities for Teacher Appreciation Week in May. Generally, each month there is a specific activity (lunch, dessert, treat, small gift, etc.)

Sprit Committee – Coordinate the selection, design, ordering, inventory, and sales of school T-shirts. Plan events and activities to promote school pride and spirit.

Volunteer Coordinator – Coordinate volunteers for PTC events and school activities. Collect list of general volunteers at beginning of year and for special events. Assure that volunteer data is recorded and available to both the Board and teachers. Work with teachers, staff, and leaders of committees to assure volunteers are recruited for programs.

Room Parent Coordinator – Coordinate the parent representatives from each class whose job is to touch base with the teacher of that class and communicate with the parents of the class. The Room Parent Coordinator relays what PTC activities are occurring in the school and if any parent volunteers are needed for upcoming events.

Halloween Carnival – Coordinate Halloween carnival event with Mission Valley Elementary School. Activities include games, food, raffle, etc. This is one of the most popular PTC events and generally needs many volunteers.

Ice Cream Social – Organize an Ice Cream Social event at the Open House. Coordinate the selection, ordering, inventory, and sales of ice cream.

Traffic Control – Recruit, assign, and schedule parent volunteers for safety patrol during morning drop-off and afternoon pick-up time.

6th Grade Activities – Coordinate 6th Grade promotion activities including swimming party, promotion ceremony, farewell party, etc.

Holiday Kidstore – Coordinate and organize a mini holiday shop for students. Recruit and schedule volunteers. Coordinate the selection, ordering, inventory, and sales of holiday related merchandise.

FAME – “Fine Arts Mini Experience” An arts program available to all grade levels that introduces students to a famous artist and musical composer along with an art activity associated with the artists presented (e.g., clay sculpting, drawing, painting, dancing, etc.). Volunteers serve as “docents” who present one lesson per month to participating classes (at the teacher’s discretion) from October through May. The FAME Coordinator (Committee Chair) provides each docent with printed lesson plans, art and music supplies, and a training session before each of the six lessons.

Lunch Help – Help the students and keep everything in order during lunch time.

Green Team – Organize recycling efforts and raise awareness among school community on ways to conserve resources and reduce waste to improve the environment.

Yearbook – Coordinate with room parents and collect photos of various school and classroom activities. Coordinate the design, promotion, ordering, and sale of the yearbook.

BoxTops – Promote the BoxTop rewards. Coordinate the collection, organization, and submitting of the BoxTops.
